About the Role:

The Budget Coordinator is primarily responsible for streamlining invoices and payments, managing
accounts receivable (AR) and accounts payable (AP), and ensuring accurate vendor and employee setup.
This role will also have general oversight over budget reporting, ensuring financial data accuracy and
compliance with company policies. The Budget Coordinator plays a critical role in optimizing payment

processes and providing insights to support financial decision-making.

Duties/Responsibilities:
● Payment and Processing:
● Manage Accounts Receivable (AR) and Accounts Payable (AP).
● Handle invoice processing and ensure timely vendor payments.
● Set up and manage vendor and employee accounts.
● Oversee contractor payments, including talent payment costs and production costs.
● Ensure proper billing to clients and manage agency/vendor costs.
● Manage out-of-pocket costs for production.
● Streamline payment processes to improve efficiency.

● Financial Analysis and Reporting
● Provide insights and recommendations to management for financial adjustments.
● Oversee reporting and be the owner of financial reporting.
● Collaboration and Communication:
● Coordinate with various departments to ensure invoices/payments are being streamlined
properly and on time.
● Communicate financial guidelines and procedures to all departments.
● Compliance and Documentation:
● Ensure compliance with company policies and regulatory requirements.
● Maintain accurate and organized records of financial data and reports.
● Assist with internal and external audits related to financial matters.
● Process Improvement:
● Identify and implement process improvements to enhance efficiency in invoice and
payment processing.
● Maintain financial management tools and templates pertaining to streamlining payments.
● Ensure vendors are properly set up in the system.

Qualifications:
● Education and Experience:
● Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
● Minimum of 3 years of experience in financial management, particularly in AR, AP, and
invoice processing.
● Not necessary but preferred background in agency, content creative, entertainment, or
media.
● Skills and Competencies:
● Strong analytical and problem-solving skills.
● Proficiency in financial software and advanced Excel skills.
● Excellent communication and interpersonal skills.
● Attention to detail and high level of accuracy.
● Ability to work independently and as part of a team.
● Strong organizational and time management skills.
● Certifications:
● Certified Public Accountant (CPA) or Certified Management Accountant (CMA) is a plus.
● Technology Proficiency:
● Experience with budgeting software and enterprise resource planning (ERP) systems.
● Proficiency in Excel, Google Sheets, and QuickBooks.
