About the Role
Elite Media is seeking an Operations Manager to lead and manage the tactical and complex administrative and operations functions of the agency business. Your role will be an essential part of the overall Team and report to Executive Leadership. The main value you will bring to the organization is to create and maintain a compliant, efficient and effective work environment by overseeing the daily operations and systems of the Agency. To thrive in this role, you must be a leader who prioritizes serving the greater good.

Duties/Responsibilities:
● Oversee the daily administration functions of the Agency, including but not limited to:
maintenance & repairs, mailing, supplies, office vendor and service management, catering,
invoicing, expenses, visitor greetings, and travel arrangements.
● Serve as a liaison between the Agency Management Team, other key Leadership functions,
and direct staff. Exercise considerable judgment in the answering of inquiries, scheduling
meetings, conveying information, resolving problems, and directing people to the proper
person or department for resolution of issues.
● Develop and execute policies and procedures related to human resources activities in the
following areas: recruitment and hiring process, onboarding & orientation of new hires,
supporting time tracking, and performance review processes.
● Responsible for meticulous agency calendar management, including planning meetings and
recurring check-ins, setting agendas, coordinating necessary event items, and communicating with multiple parties to schedule events. This would also be for in-house or off-site activities, like guest visits, culture events, parties, celebrations and conferences.
● Provide high level operational and administrative support to Executive Leadership
● Order and maintain office supplies and equipment; maintain inventory records of supplies
and equipment. Approve designated administrative purchases; monitor and authorize
budgets around office expenses; negotiate invoices for purchases and contracts.
● Supervise and ensure agency compliance and updates related to business-related software,
cyber-security and IT issues with technical vendor.
● Report office progress to Senior Management and working with them to improve office
operations and procedures
● Oversee document organization and storage, including management of Google Drive.
Qualifications
● Have a minimum of 10 years of experience working in an agency setting in an operation and
administrative focused role.
● Understands how to operate with integrity, absolute discretion, and confidentiality
● Self-starter and a quick study with outstanding organizational and time management skills
● Comfortable working in a fast-paced ever-changing environment
● Excellent verbal and written communications skills
● Demonstrated ability to work in and contribute to a diverse, equitable, and inclusive
environment
● Active participant in building positive company culture
● Willingness to work some nights and occasional weekends
● Advanced capabilities: Google Suite, Excel, Word, PowerPoint, Outlook Skills
● You are solution-oriented and pay attention to detail.

● You are a resourceful, communicative team player who errs on the side of overcommunication.
